OptimaED LLC ("Optima," "we," "us," or "our") operates the Optima Platform (the "Platform"), an immersive extended-reality educational environment used by K-12 schools, homeschool programs, and learning labs. This Privacy Policy explains what information we collect, how we use it, and the choices available to users, parents, guardians, and school administrators.
This Platform is intended for use by students, educators, and administrators in K-12 educational settings. By using the Platform, you agree to the practices described in this policy. If you are a parent or guardian reviewing this policy on behalf of a student, or a school administrator reviewing it on behalf of your institution, the same terms apply.
We collect the following categories of information:

The Platform offers an optional feature allowing users to connect their own Google account to access files stored in Google Drive directly within the XR environment. This feature is opt-in — files are only accessed if a user actively chooses to connect their Google account.
Optima's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We do not use Google user data for advertising purposes. We do not sell Google user data to third parties. We do not allow employees to read Google user data except as necessary for security purposes, to comply with applicable law, or with the user's explicit consent.
The Platform also supports optional connections to Microsoft SharePoint and OneDrive, governed by Microsoft's own privacy terms in addition to this policy. As with Google integrations, these connections are opt-in and only activated when a user chooses to connect their account.
The Platform is designed for use in K-12 educational settings and may be used by children under the age of 13. We are committed to compliance with the Children's Online Privacy Protection Act (COPPA) and, where applicable, the Family Educational Rights and Privacy Act (FERPA).
We retain account and usage data for as long as the account is active or as needed to provide the Platform's services. Connected third-party account data (such as Google Drive access tokens) is retained only as long as the connection remains active and is deleted upon disconnection or account closure. Schools may request deletion of student data at any time.
We use industry-standard administrative, technical, and physical safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction, including encryption in transit, access controls, and routine security monitoring.

Users may disconnect their Google account from the Platform at any time within the Platform's account settings. Users can also independently revoke the Platform's access to their Google account at any time by visiting Google Account Permissions and removing access for "Optima Platform."
We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date at the top of this page. We encourage schools, parents, and users to review this page periodically.
